Vaccine verification - employees

George Brown College’s vaccination policy states that all students, employees, contractors volunteers, and visitors coming onto college premises are required to be fully vaccinated.   

George Brown College follows the Government of Ontario’s definition of full vaccination. A person is considered fully vaccinated if they have received:  

  • The full series of a COVID-19 vaccine authorized by Health Canada, or any combination of such vaccines, 
  • One or two doses of a COVID-19 vaccine not authorized by Health Canada, followed by one dose of a COVID-19 mRNA vaccine authorized by Health Canada, or 
  • Three doses of a COVID-19 vaccine not authorized by Health Canada; and 
  • They received their final dose of the COVID-19 vaccine at least 14 days ago.  

Four COVID-19 vaccines are currently authorized for use by Health Canada: AstraZeneca, Johnson & Johnson, Moderna, and Pfizer-BioNTech. 

How to show proof of full vaccination 

All employees must upload their proof of vaccination documents to Synergy Gateway, the secure third-party provider of vaccine verification services to George Brown College. After the documents have been uploaded, employees can show one of the following to access campus: 

  • Synergy Gateway COVID-19 Vaccination Compliance Card (see verification instructions below).  
  • Ontario’s Vaccine Certificate QR code, also known as the vaccine passport. You can download your certificate on the Government of Ontario’s website.

Verification platform 

George Brown College is using a secure platform called Verified by Synergy Gateway to verify vaccination status and to consider medical accommodation requests. This process is called COVID-19 Vaccination Verification (CVV) by Synergy Gateway. Requests for religious/creed accommodations will be reviewed and considered by the college directly.    

Once you complete the CVV process on the Verified by Synergy Gateway platform, you will get a COVID-19 Vaccine Compliance Card that you can display on your mobile device or print out to show at campus entry points.   

HOW TO UPLOAD YOUR VACCINATION DOCUMENTS TO SYNERGY GATEWAY 

Find the message in your George Brown College email from helpdesk@synergygateway.com that includes your username and temporary password. This message will be titled, “Your Access to Verified.”

If you can’t find the email from Synergy Gateway, see the FAQ below “I can’t find the email from Synergy with my login information. What do I do?” for next steps. 

When you have found the message from Synergy Gateway, please follow the instructions in the email to complete the following steps:  

Log in

Log in to the Verified by Synergy Gateway platform using your username and temporary password, and then change your password.  

We recommend using the following web browsers: Chrome, Firefox, Microsoft Edge (Safari is not supported).

 

Upload your documents

From the “Home” tab, navigate to Step 1, select the “Documents Upload” button, and upload your COVID-19 proof of full vaccination for review.  

  • If you received your vaccinations in Ontario, you can download PDF versions of your vaccine receipts at covid19.ontariohealth.ca
  • Please ensure that all vaccination documents uploaded clearly have your name, vaccination date(s), vaccine provider name, dose number and are transcribed in English.  Only official documents will be accepted as proof of vaccination. 

Update your vaccination details

Visit the “Vaccinations” tab and select the “Open” button to update your COVID-19 vaccination details. You will need to list the Vaccine Provider and Date of Injection for your COVID-19 vaccination(s).  

Read the disclaimer

Read through the disclaimer and complete the check box.  Finally, click “ACCEPT.”  

Access your vaccination verification certificate

Check your Verified account regularly as your vaccination status will be updated within three to five days. You will be able to download your Vaccine Compliance Card when your status is set. In the meantime, you must continue to show hard-copy proof of vaccination or complete rapid testing when arriving on campus.

I can’t find the email from Synergy with my login information. What do I do?

Employees who can’t find the email sent by Synergy Gateway in September 2021, can take the steps below to activate their accounts. 

  1. Visit https://verified.sgappserver.com 
  1. Select the “Forgot Password/Resent Password” link and follow the instructions. 
  1. Enter your George Brown College email address in the “Request Password” pop-up window. 
  1. Check your inbox for an email from helpdesk@synergygateway.com with the title “Your Access to Verified.” 
  1. Open the email and select the “Activation” link. 
  1. Follow the instructions to reset your password. 

Once employees reset their password and log in, they can upload their vaccine verification documents. 

How do I get more information about uploading my vaccination documents?
Why do I have to upload my documents to Synergy Gateway if I can show my provincial QR code?

Uploading information in Synergy serves two distinct purposes. First, it confirms proof of vaccination for employees and students (including for vaccinations completed in other provinces and internationally) and produces a Vaccination Compliance Card for ease of use in accessing the college campuses. Second, for employees, it confirms for their manager that the employee can conduct their duties on-site in compliance with the vaccination policy. As managers plan for more on-site activities in January and through the Winter semester, they need to plan staff work schedules and coverage. They also need to know if they will have staffing shortages and whether they need to find replacements ahead of time. The Synergy reports provide them with the information they need to complete staffing plans and ensure our on-site students and colleagues are supported.

Why do I need to verify my vaccination status with the college if the province of Ontario has introduced vaccine passports?

While the provincial government has introduced a proof of vaccination program, it will only service Ontarians. The George Brown community comes from across the country and around the world, and we require a system that the entire college community can use – both domestic and international students. 

In addition, Synergy Gateway provides the stats and data that are needed to fulfill the college’s reporting obligations to the Ministry of Colleges and Universities. This will ensure we are able to report accurate and timely information. 

What if I'm an employee who does not want to get vaccinated and I don't qualify for an accommodation?

As with all college policies, procedures and guidelines, employees will be expected to abide by the college’s vaccination policy as part of their conditions of employment. Employees who do not comply and do not have an approved medical or religious/creed accommodation will subject to sanctions, which could include cancellation of contracts, being placed on an unpaid leave and/or disciplinary action up to and including termination.
