1. What these AI support services are
GBP uses artificial intelligence (AI) to assist in responding to email and support inquiries about programs, services, and processes.
AI may be used to:
- Draft or suggest responses to your inquiry
- Route your request to the appropriate GBP office
All communications remain part of GBP’s customer service processes and may involve review or follow-up by GBP staff.
These services do not provide professional, academic, legal, medical, or counselling advice and do not replace speaking directly with a GBP staff member.
2. Accuracy and limits
We take reasonable steps to ensure responses are helpful and current. However:
- AI-assisted responses may be incomplete, outdated, or incorrect
- You should verify information before relying on it
- For official or important matters, contact the appropriate GBP office directly
3. No emergencies or crisis support
Email and support services are not monitored in real time and must not be used for emergencies or mental health crises.

4. Personal information and privacy
GBP is subject to the Freedom of Information and Protection of Privacy Act (FIPPA).
What we collect:

- Route or escalate your request to appropriate GBP staff
- Improve GBP’s services, communications, and website
Important warnings:
- Do not include sensitive personal information, such as Social Insurance Numbers, health or medical information, or financial or banking details

5. Use of AI and data
GBP uses generative AI to assist in preparing responses to email and support inquiries.

- Summarizing or categorizing inquiries
AI-generated content may be reviewed, edited, or approved by GBP staff before being sent, depending on the service workflow.
Inputs (your messages) and outputs (responses) may be used by GBP to improve service quality and information accuracy.
GBP does not provide email or support content to AI vendors for the purpose of training their general AI models.
AI Support Services do not make automated decisions about you. They are not used to approve, deny, assess, rank, or otherwise make decisions affecting your academic standing, admission, enrolment, funding, discipline, or access to services. All such decisions are made by GBP staff in accordance with the institutions policies.
6. Human review and responsibility
AI may assist in preparing responses, but communications may or may not be reviewed by GBP staff before being sent, depending on the nature of the inquiry.
Users are responsible for deciding how to use the information provided.
7. Ownership and use of content
By using AI-assisted email or support services, you acknowledge that:
- The information you provide (inputs) and responses generated (outputs) may be used by GBP for Polytechnic purposes, including responding to inquiries and improving services
- You grant GBP a non-exclusive, royalty-free licence to use, reproduce, and analyze this content for these purposes
- Responses are provided for informational purposes only and do not create ownership rights for users in the generated content
8. Links to other websites
Responses may include links to third-party websites for convenience. GBP is not responsible for the content or privacy practices of external sites.
9. Limitation of liability
Use of AI-assisted email and support services is at your own risk. To the fullest extent permitted by law, GBP is not responsible for any loss or damage arising from reliance on information provided through these services.
10. Age requirement
These services are intended for users 16 years of age and older. If you are 15 or under, please do not use these services. Instead, contact GBP through official channels or ask a parent, guardian, or educator to assist you.
