Sharing your screen or content in Teams helps create engaging and interactive learning experiences. This resource outlines the main options for presenting in a Teams meeting: sharing your whole screen, a specific window, a browser tab, or using PowerPoint or Excel Live.

Present with PowerPoint Live
PowerPoint Live is the most dynamic way to deliver structured presentations directly from PowerPoint in Teams. Learn how to display your speaker notes, upcoming slides, and the meeting chat, all in one view.
Present with Excel Live
Excel Live allows you and your students to work together on an Excel file directly within a Teams meeting -- no need to share your screen.
Manage what participants see
- To stop sharing, click Stop Presenting.
- To switch between content types (e.g., from PowerPoint to a browser tab), click Share again and select a new option.
- You can pin or spotlight your video to keep yourself visible during a demonstration.
Allow students to share screen
By default, only presenters can share their screen or present content in a Teams meeting. If your students need to share their work, such as presenting slides, showing a project, or leading a discussion, you can change their role from attendee to presenter.
Change a Participant’s Role During a Meeting
- In the meeting, click the People icon on the toolbar to open the participant list.
- Find the student’s name.
- Click the More options (•••) beside their name.
- Select Make a presenter.
Once their role changes, they’ll be able to:
- Share their screen, window, or PowerPoint.
- Control shared content (such as advancing slides).
To return them to attendee status after they finish presenting:
- Open the People panel again.
- Click More options (•••) beside their name.
- Select Make an attendee
Accessibility and Inclusion
Here are some ways to make your presentations more inclusive:
- Turn on Live Captions during meetings.
- Verbally describe images, charts, or demonstrations.
- Share presentation files in advance (PowerPoint, PDFs, or links).
- Use clear fonts and high-contrast colours on your slides.
Troubleshooting

| Participants see a blank or frozen screen. | Stop sharing and start again. |
| Audio isn’t playing from a video. | Enable "Include computer sound" before sharing. |
| Screen sharing is slow or lagging. | Close unused apps or reduce video quality. |
| Can’t upload PowerPoint. | Save the file locally and upload it again using PowerPoint Live. |
